Welcome to Footsteps School of Dancing (FSOD) Privacy Policy

FSOD respects your privacy and is committed to protecting your Personal Data. This privacy policy explains how and why we use your Personal Data and aims to give you information on how we collect and process your Personal Data through your use of our website, or when you interact with us via telephone, post or in person.

Data Privacy

FSOD is a Partnership and is the controller of data for the purposes of the data protection legislation.

This notice serves to cover all personal data that that is processed by FSOD.

We are registered for the processing activities we undertake with the ICO under ref: ZA012659.

Who does this policy apply to?

Any individual whose personal data the FSOD processes, including an individual who:

• is signs up to any of our courses, functions, holidays or events that we may put on. (including individuals, sole traders, partnerships and companies)
• agrees to receiving newsletter or email
• contacts us or interacts with us on social media, visits or interacts with our website.
• represents FSOD e.g., as a Trinee teacher/Helper or sub-contractor
• applies for a job vacancy or role with FSOD

The data we collect about you

We only collect Personal Data relevant to your relationship or how you engage with FSOD. The types of data we collect, use, store and transfer are:

• identity Data such as title, first name and last name
• contact Data includes billing address, business address, email address, social media handles and telephone numbers
• financial Data includes bank account, payment card details
• transaction Data includes details about payments to and from you and other details of products and services you have purchased
• profile Data includes your username and password.
• usage Data includes information about how you use our website, products, and services,
• marketing and Communications Data includes your preferences in receiving marketing from us for instance email, WhatsApp, text or Social media.

Special Category data

We do not generally collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union memberships, information about your health, and genetic and biometric data).

However, in some circumstances it may be necessary to process your personal data such a dietary requirements or access requirements when attending an event. Or for any events which focus on areas of special category data such as disability or any other category that falls outside of our normal remit.

Wherever we process this data we will explain to you when we do this, why it is needed, and it will be your choice whether to provide it.

If you fail to provide Personal Data 

Where we need to collect Personal Data by law, or under the terms of a contract we have with you, and you fail to provide that data when requested, we may not be able to perform the contract we have or intend to have with you e.g. to provide you with goods or services. In cases like this, we may have to cancel a product or service you have with us, but we will notify you if this is the case at the time.

How your Personal Data is collected

We may collect your personal information when:

• Direct interactions when you:
  • apply for or express an interest in our services
  • subscribe to email communications, newsletters, WhatsApp groups, text messages or any of our social media channels where a two way communication chat can be made
  • make an enquiry about FSOD activities, services or products
  • make a purchase, order products or services from us
  • attend an FSOD event
  • volunteer with us or apply for a job (including sending us your CV)
  • when you join our email database
  • contact us or give us feedback
  • when you create an account on our Website

How your Personal Data is used (the legal basis to process your data)

The personal data that is used is limited to the information we need and is processed mainly using the contractual legal basis to perform the tasks or services we have agreed with you, or as needed to meet our legal obligations.  

Additionally, there will be instances where we will process information using our legitimate interests. Our legitimate interests as a business must be balanced with yours as an individual, to ensure such interests do not override your personal interests, rights or freedoms. For example, we may rely on our legitimate interests to inform you of what we do. Our legitimate interests will include using data in the service relationship you have with us.

Examples of the legal basis we use to process your data are:

• as a member or account holder your data will be processed to perform a contract we are about to enter or have entered with you i.e. to perform the tasks or services we have agreed with you
• where we believe there is a legitimate interest to:
  • inform you or your business about opportunities such as products, services, special offers, discounts, events, activities and news.
  • record calls to enable us to provide effective training, monitor quality and to improve FSOD services when and if required
  • capture and share, on our social media channels and within marketing materials, photographs and videos of virtual and physical events used to promote FSOD
  • conduct surveys and research activities to allow us to develop our goods and services in order to try and maintain the high quality of services we offer and to get ideas from all of our customers ideas on how to increase and expand the business and FSOD activity
  • ensure FSB's operational reliability and business continuity
• we will seek your consent where needed for the processing of:
  • any special categories of data (although we do not currently process your special category data)
  • where we use your details in an FSOD case study
  • promotional activity around the awareness of the work of FSOD and the contribution of small businesses to the UK economy
  • where the processing activity is not part of the agreed services
• where we need to comply with a legal obligation
• Note in some cases we will:
  • process your Personal Data on more than one lawful ground depending on the specific purpose for which we are using your data, or
  • process your Personal Data without your knowledge or consent. 
  • in compliance with this policy and where this is required or permitted by law.
  • make use of AI technology in the processing of personal data. This is done in compliance with UK GDPR.

Marketing Purposes

We undertake various marketing activities to promote our services and products but only where we believe it will be of interest to our business.

This is conducted under our legitimate interest statement:

Keeping you informed is important to us. We will use the personal details you provide for specific and carefully considered purposes that help us keep you connected to the things that matter to you and the services that are of interest to you that FSOD offer plus you will also be notified of other product we offer.

This includes information about opportunities such as products, services, special offers, discounts, events, and activities. Your feedback on your FSOD experience is equally important to us, as it helps us continually improve our service.

We may, where you have consented, use your data to assist us in targeted marketing in social media such as lookalikes. This is a tool provided by the social media entities to allow us to identify and target other people on social media. Your data helps profile these other targets rather than marketing that is targeted at you.

Third-party links

FSOD websites may include links to carefully selected third-party providers, websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our websites, we encourage you to read the privacy policy of every website you visit.

Sharing your personal information

FSOD will or may share your data with other companies ( E.G Hotels) FSOD Insurance to ensure our respective records are accurate but also ensure you receive a consistent service. Where we do this, all data processing will adhere to FSOD strict policies and this Privacy Policy. 

If you register for an event, we will share name and business details with other event attendees. 

We may also share your data with Partner organisations who have requested or expressed an interest.

Outside of this, access to your personal information is only allowed when required by law, when it is required as part of fulfilling our service obligations or where we make use of third-party service providers to help us fulfil our services.

Where we use a third party to process your data on our behalf, we enter a contract where the third party is required to take appropriate security measures to protect your personal information in line with our policies. We do not allow our third-party service providers to use your personal data for their own purposes, and we only permit them to process your personal data for specified purposes and in accordance with our instructions.

We may use third party providers to:

• provide information about a service or product that you have requested,
• help us manage and host our marketing promotions and events
• host and administer our website
• to host our databases for the provision of our services
• check or cleanse the data we process on you or your business to ensure it is accurate
• provide services for our IT security and systems
• to provide functionality for financial organisations to enable processes such as payments and refunds under the performance of or in readiness of a contract with you

How we secure your information

FSOD makes use of several systems to store data, both “on premises” and off site as well as in the “cloud”. FSOD has access to all backups at all times.

• access the information held about you. Your right of access can be exercised in accordance with data protection law
• object to us processing or ask us to restrict the processing of your personal information for any of the purposes listed in this Policy at any time
• ask us to update and correct any out-of-date or incorrect personal information that we hold about you free of charge
• ask us to erase or delete your personal information (in certain circumstances). We will do our best to respond to such requests, but these are subject to certain limitations such as legal requirements
• request a transfer of your personal information (again in certain circumstances)

We will respond to your request promptly and look to resolve any query within 30 days and free of charge. However, we reserve the right to refuse or charge an administrative fee for the furthering of any of the above requests if they are done so in a frivolous, vexatious or excessive manner. We will always notify you if such a charge is being applied

Complaints

Regretfully there are times when someone is unhappy with something we are doing or something we have done with their data.

 We reserve the right to update this privacy notice at any time, and we will provide a new privacy notice on this website with any substantial updates.
